Questions about this page?
Section 01
Who we are
The business behind this website and what this policy covers.
Lemala Safaris is a Tanzania safari and Kilimanjaro operator, and this website is lemalasafaris.com. In this policy, we, us and Lemala mean Lemala Safaris. You means anyone who visits the site, sends us an enquiry, joins our newsletter or travels with us.
For the personal information described here, Lemala Safaris decides why and how it is used, which makes us the controller of that information in the language of data protection law. This policy covers our website, our forms, our safari advisor chat, our emails and the documents we share with confirmed clients.
We have written this in plain language on purpose. If any part is unclear, please ask us. Our contact details are at the end of this page and on our contact page.
Section 02
The information we collect
What you tell us when you send an enquiry or a quick enquiry.
When you use the Plan My Safari enquiry form, we ask about the trip you have in mind and how to reach you. You choose what to enter, and the form only works if you tick the consent box. We use what you share to prepare a personal quote and to reply in the way you prefer.
Some safari pages have a shorter quick enquiry form. It asks for your name, email, dates, number of travellers and a message. Alongside each enquiry we also store the page it came from, any campaign tags in the link you followed, your referrer and the page you first landed on, so we can understand which of our pages helped you find us.
- Trip type, date flexibility, travel dates or month, and number of adults
- Children's ages, budget band, accommodation level and interests
- Your name, email, phone number with country code and country
- Your preferred contact method: email, phone or WhatsApp
- Any notes you add, and the page the enquiry came from
Section 04
Trade partner applications
What we collect from travel businesses that apply to work with us.
If you represent a travel business and apply through our trade partner form, we collect your business details and your contact details. We use them to review your application, to decide whether to share trade information and to stay in touch about working together.
Trade rates are not published on the website and are shared only after an application has been reviewed. Details you provide about colleagues should be shared only where you are sure they are happy for you to do so, and we handle that information in the same way as everything else in this policy.
Section 05
The safari advisor chat
How the chat on the Plan page works and what happens to what you type.
The Plan page includes a safari advisor chat that helps you think through a trip. To write its replies, the text you type is sent to third-party artificial intelligence providers. The providers we use may include Google Gemini and OpenRouter, and others such as Groq or Cerebras if we have them switched on. Those providers process your messages under their own terms.
Lemala does not keep your chat as an account or a stored history. The conversation lives in your browser, and if you wish you can send the transcript into the enquiry form so our team can see it. Please do not type sensitive personal information into the chat, such as passport numbers, payment details or health information.
- Chat replies are produced by third-party AI providers
- The conversation stays in your browser unless you send it to us
- Passport, payment and health details do not belong in the chat
Section 06
Bookings and travel documents
The extra information we need once you confirm a trip.
Once you confirm a trip, we need more detail to make it happen. On our staff side we hold your name and contact details, passport details, payment references, supplier bookings, expenses and the documents for your trip. We share only what a lodge, camp, guide, park authority or airline needs to serve you.
Confirmed clients receive signed private links to their quotes, invoices, booking confirmations and travel documents. These links are signed and can expire, and the files behind them are stored privately. Please treat a link like a key and avoid forwarding it to people who should not see your documents. If a link stops working, ask us for a fresh one.

Section 07
Health, dietary and other sensitive information
How we treat details about your health, diet and needs.
Planning a safari or a mountain climb sometimes means knowing about allergies, dietary needs, medical conditions or mobility needs. You decide whether to share this. If you do, it is used only to arrange your trip safely and comfortably, and to pass the relevant detail to the people who need it, such as a camp kitchen or your guide.
Because this kind of information is more sensitive, we ask for it only when we need it and keep access limited to authorised Lemala staff. Please share it with us directly through your enquiry notes or by email once you are in conversation with our team, and not through the safari advisor chat.
- Share only what is useful for planning your trip
- Access is limited to authorised Lemala staff
- Details are passed on only where your trip needs it
Section 08
Information collected automatically
The small amount of technical data we gather when you use the site.
To attach context to an enquiry, your browser keeps a note of the page you landed on, where you came from and any campaign tags in the link. This is held in session storage for your visit and is added to your enquiry if you send one. It helps us see which pages and campaigns are useful.
To protect our forms from spam, we use Cloudflare Turnstile, which runs a challenge in your browser, together with a hidden field that only automated tools fill in. We also limit how often a visitor can submit a form by using a salted hash of the IP address, not the raw address. Analytics are described separately below and run only with your consent.
Section 09
Analytics
How we measure the site, and only if you say yes.
We use Google Analytics 4 to understand how people use the site and to improve it. Its code runs in consent mode: until you accept analytics in the cookie banner it sets no cookies and stores no identifier on your device. When it runs, IP anonymisation is on, and Google signals and advertising features are switched off.
The events we measure include starting, moving through and submitting the enquiry form, WhatsApp clicks, guide downloads, newsletter sign-ups, and clicks on our phone and email links. If you decline analytics, none of this is measured. You can change your choice at any time using the cookie settings.
Section 11
How we use your information
The purposes we collect your information for, and nothing beyond them.
We use your information to answer your enquiries, prepare quotes, plan and run your trip, take payments, keep you informed about your booking and provide the documents you need. If you agreed, we also use your email address to send guides and our newsletter.
We also use limited information to keep the website secure, prevent spam, understand which pages are helpful and improve the site, and to meet our legal and accounting duties. We do not use your information to make decisions about you that have legal effects, and we do not sell it.
- Replying to enquiries and preparing your personal quote
- Booking, running and supporting your trip
- Sending guides and newsletters you asked for
- Keeping the site secure and free of spam
- Improving the site, with analytics only if you consent
Section 12
Our legal bases
The reasons data protection law allows us to use your information.
Depending on where you live, data protection law asks us to have a lawful reason for using your information. When you ask for a quote or confirm a booking, we use it to take steps at your request and to carry out our contract with you. When you tick a consent box, such as for the newsletter or for analytics cookies, we rely on your consent, which you can withdraw at any time.
We also rely on our legitimate interests in running a safe, reliable website, preventing spam and abuse, and understanding how our site is used, where these do not override your rights. And where the law requires us to keep records, for example for tax or accounting, we use your information to meet that legal duty.
Section 14
International transfers
What happens when information travels across borders.
Lemala operates from Tanzania, and the services we use, such as Cloudflare, Resend, Google and our AI providers, operate in many countries. This means your information may be processed in countries other than the one where you live, including countries whose data protection rules differ from yours.
Where the law requires safeguards for such transfers, we rely on the protections our providers offer, such as standard contractual terms, and we choose providers who describe how they protect information. You can ask us for more detail about how we handle transfers by using the contact details below.
Section 15
How we keep it secure
The practical steps we take to protect your information.
We take care to protect the information we hold. Files such as quotes, invoices and travel documents are kept in private storage and shared through signed links that can expire. Our staff area is behind a password and limits repeated login attempts, and access is limited to authorised Lemala staff.
No website or system can be made perfectly secure, so we cannot promise absolute safety. We encourage you to keep your own devices and email accounts secure, to be careful with the links we send you and to tell us promptly if you think something has gone wrong.
- Private file storage and signed, expiring links
- Password-protected staff area with login rate limiting
- Staff access limited to those who need it
- Spam protection on every form
Section 16
How long we keep it
We keep information only as long as there is a reason to.
We keep personal information for as long as we need it for the purpose we collected it for, and no longer than the law requires. For an enquiry, that means as long as we are planning your trip with you and for a reasonable time afterwards in case you return. For a booking, it includes the time we must keep records for legal and accounting reasons.
Newsletter details are kept until you unsubscribe or ask us to remove them. When we no longer need information, we delete it or anonymise it. Browser items, such as the draft of an unfinished enquiry, stay on your device only for your session or until you clear them.

Section 17
Your rights
What you can ask us to do with your information.
Depending on where you live, including in the European Union and the United Kingdom, you may have rights over your personal information. These can include asking for a copy of what we hold, asking us to correct it, asking us to delete it, asking us to limit or stop certain uses, and asking to receive it in a portable form.
You can also object to uses based on our legitimate interests, and you can withdraw consent at any time without affecting what we did before. Some rights have limits. For example, we may need to keep certain booking records to meet legal duties. We will explain if that is the case.
- Access: a copy of what we hold about you
- Correction of anything that is wrong
- Deletion, where we have no need or duty to keep it
- Objection to, or restriction of, certain uses
- Portability, and withdrawing consent at any time
Section 18
How to use your rights
How to ask, and what to expect from us.
To use any of your rights, email us at info@lemalasafaris.com and tell us what you would like. Please write from the email address you used with us, or give us enough detail to find your records, so we can be sure we are dealing with you and not someone else.
We will reply as quickly as we reasonably can and within the time that the law in your country requires. There is normally no charge. If a request is complex, or if we cannot act on part of it, we will tell you why. We may ask for proof of identity before sharing or deleting anything.
Section 19
Marketing choices and unsubscribing
How to stop emails from us whenever you like.
We send our newsletter and guides only to people who asked for them. Every email includes an unsubscribe link, and using it removes you from our newsletter. You can also reply to any email or write to info@lemalasafaris.com and ask us to stop.
Even if you unsubscribe, we may still send you messages that are needed to run a trip you have booked, such as confirmations, invoices and travel information. These are service messages, not marketing, and they keep your journey on track.
Section 20
Children
How we handle information about young travellers.
Our website is meant for adults planning a trip, and we do not knowingly collect personal information directly from children. When you plan a family safari, we ask for the ages of children travelling so we can suggest suitable lodges, rates and activities.
For a confirmed booking, we may need a child's name and passport details to arrange the trip. We take this from the parent or guardian making the booking. If you believe a child has sent us information directly, please contact us and we will delete it.

Section 21
Links and third-party services
What happens when you leave our site or use a connected service.
The WhatsApp button opens a wa.me link with a pre-filled message, and the chat then takes place on WhatsApp, which is run by Meta under its own terms and privacy notice. Our pages may also link to maps and other websites, which have their own practices that we do not control.
Cloudflare Turnstile, which checks that a visitor is a person, is provided by Cloudflare and may use limited browser storage or cookies to do so. We encourage you to read the privacy information of any third-party service you use. Photographs on our site come from our own photography, from a free-licence stock library and from openly licensed images credited on their pages.
Section 22
Changes to this policy
How we tell you when this page is updated.
We may update this policy as our website, our services or the law change, for example when we add new languages or new features. The date at the top of the page shows when it was last updated, which is currently 16 October 2026.
If we make a significant change to how we use your information, we will take reasonable steps to let you know, for example with a notice on the website. We encourage you to look over this page from time to time.
Section 23
Contact and complaints
Who to talk to about privacy, and where to go if you are unhappy.
If you have a question about this policy or about your information, email us at info@lemalasafaris.com or use the contact page on our website. We would like the chance to put things right, and we will take your message seriously.
If you are not satisfied with our response, depending on where you live you may have the right to complain to your local data protection authority, for example the authority in your European Union country or the Information Commissioner's Office in the United Kingdom.
